A dynamic and growing company is seeking a detail-oriented Administrative Assistant Manager to lead daily office operations and support executive leadership. Ideal candidates will have hands-on experience opening new offices, managing logistics, and overseeing business insurance. This role is key to ensuring smooth operations, compliance, and a professional workplace environment.
KEY RESPONSIBILITIES
* Oversee daily office operations to ensure a smooth and efficient workplace
* Lead logistics for office openings, relocations, and expansions, including vendor coordination, lease management, and IT/telecom setup
* Collaborate with the Vice President on business insurance renewals and serve as a primary contact for brokers and providers
* Develop and maintain office policies, procedures, and compliance standards
* Partner with executives to support company-wide initiatives and administrative needs
* Manage contracts, vendor agreements, and office supply procurement
* Oversee office facilities, security access, and space planning
* Act as a liaison between departments, vendors, and external partners
* Ensure compliance with company policies and legal requirements
* Perform other duties as assigned
QUALIFICATIONS
* 5+ years of office administration experience, including 2+ years in a senior or lead role
* Japanese language proficiency (spoken, read, and written) is required
* Proven track record in opening and managing office locations, including logistics and vendor coordination
* Strong knowledge of business insurance policies, compliance, and claims handling
* Excellent organizational, communication, and problem-solving skills
* Proficient in Microsoft Office Suite; experience with office management tools preferred
* Ability to handle confidential information with discretion
* Strong interpersonal skills and experience working directly with executives
SALARY
USD 70,000-90,000 + Discretionary Bonus
