POSITION TITLESenior Administrative Assistant
POSITION SUMMARY
In this position, you will provide high-level administrative and organizational support to senior executives and team members, ensuring smooth day-to-day operations, effective stakeholder coordination, and seamless communication across global teams and regions.
RESPONSIBILITIES
Manage complex calendars and coordinate meetings across multiple international offices and time zones for senior stakeholders and team members
Coordinate domestic and international travel, including flights, hotels, car services, itineraries, and visa arrangements where applicable
Process and submit expense reports and approvals in accordance with company policies
Prepare, edit, and format correspondence and materials for internal and external use
Support the planning and execution of meetings, events, and offsite activities, including logistics and materials preparation
Serve as a point of contact for internal stakeholders and external counterparties, ensuring professional and timely communication
Provide general administrative and office support to enhance business operations and team effectiveness
Coordinate effectively with other administrative professionals across the organization
QUALIFICATIONS
5-10 years of experience in an Executive Assistant or Senior Administrative Support position
Experience supporting senior executives and/or teams in fast-paced, deadline-driven environments
Ability to collaborate effectively with global teams
Ability to manage competing priorities across regions
Fluency in both English and Japanese
PREFERRED REQUIREMENTS
Experience within a financial institution or professional services environment is preferred but not required
